The challenge

Storage was never the hard part. Documents sat in drives, inboxes, and paper trays waiting for a person to notice them, so invoices missed approvals, contracts missed renewal dates, and nothing talked to the systems a company already ran. On top of that came the statutory burden: retention periods of 8 to 11 years depending on the country, an archive ledger to maintain, and e-invoices that must keep their audit trail.

Our approach

We built Arhivix so a document does something the moment it arrives. AI reads each file, recognizes the type, supplier, and dates, assigns tags, routes it to the right people, and files it with its legal retention period, so the archive ledger maintains itself and received e-invoices keep their full audit trail. Then we connected it to the tools these companies already run: a whole Microsoft 365 tenant can be imported with its groups and access rules, Google Workspace and e-invoicing plug in, and a REST API, webhooks, and single sign-on cover the rest. Search understands context, whether you ask inside Arhivix or through ChatGPT and other AI tools. Files are encrypted with AES-256 at rest and TLS 1.3 in transit across two EU data regions, with per-document access control and the option to bring your own S3-compatible storage. Qualified e-signatures under eIDAS, a client portal, and apps for macOS, Windows, iOS, and Android round out one system instead of five tools.

The results

Two years after launch, 500+ companies run their documents through Arhivix, and 92% of everything uploaded is classified automatically, without anyone sorting it by hand.
